Display Service Requirements from Salesforce in Monarch School accounts to increase visibility to TinyEYE Practitioners and Customers

Currently, NAEs/Account Managers/Service Coordinators gather and enter service requirements into Salesforce on behalf of customers' Decision Makers. This information is entered into the Parent Account in Salesforce which gets pushed into SSRs and PLs to help with placement discussions. Service Requirements are determined by the customer/school district and apply to all schools under them.

Once a practitioner is placed, the Service Coordinators send a lengthy Therapist Initiation email that lists the Service Requirements. Service Coordinators have needed to resend this information throughout the school year if practitioners forget details or can't find their Therapist Initiation email.

The list of the Service Requirements fields we would like to be pushed into school Monarch accounts so that it's visible to customers and practitioners for reference is shown in the attachment.

Other Changes:

  • The consent type needs to be reworded in Monarch and entered in the Billing Customer account and shown in the school accounts.

  • The Therapy Start & End dates need to be removed from the school accounts. These dates are placement-specific and not school-specific.

  • Year Start & End Dates would be helpful if pulled from Salesforce (or removed all together). We recently learned that Monarch uses these dates for Progress Reports, so this function would need to change.

There are more field changes that need to happen per account type in Monarch, but this has been submitted in another Idea.

    We don't even need to capture this in Salesforce if we put the onus on the customer to input this at startup. Then they are accountable to maintain this information accuracy. So we need a way for customers to outline their expectations regarding assessments, progress notes, IEP meetings, or other service delivery item requirements in Monarch that the practitioners can view and apply as they work with them.


    We are finding that without this available there is no way for this information to be relayed consistently to practitioners, and sometimes it's not but comes up later when it is found that the services are not meeting the customers requirements.


    See Tlicho and mismatch in how practitioners are doing assessments vs. what school might want. We are learning each practitioner is doing these differently so also poses challenges for customers to locate information on assessments.


    To overcome this we currently have to manually create Good to Know documents that TinyEYE then becomes the proprietor of, and responsible for the information therein. We then take responsibility if it is not maintained or current. Instead, if the customer could develop this and input expectations on a few topics to easily communicate to their new or returning practitioners through the Monarch office directly.
